Correspondence Assistant

Farming Connect is a high profile, integrated project which supplies focused training, support and advice, delivered through a pan-Wales programme of knowledge transfer activities, specialist advice and support for innovation. A key objective is to increase the emphasis on business-focused behaviour, therefore improving profitability, competitiveness and environmental performance of farm, forestry and food businesses in Wales. 

 

Farming Connect is funded through the Rural Development Plan 2014 - 2020, which is funded by the European Agricultural Fund for Rural Development and the Welsh Government.

  

Aim of the Role

  • Work closely with the Surgeries and Correspondence Officer
  • Work independently in order to produce correspondence for all Farming Connect’s events including invitations, text messages and events newsletter
  • Contribute to Menter a Busnes’ other activities and general objectives

 

Main Responsibilities

  • Work independently and be responsible for the procedures in creating invitations from the authorisation of events on the CMS to sending out to businesses
  • Coordinate correspondence in a timely manner for upcoming events including invitations, text messages and events newsletter
  • Ensure that the CMS system is current and efficient in order to facilitate the production of invitations in a timely manner
  • Ensure linguistic and technical accuracy whilst designing and preparing invitations for events by cooperating with the translation department and the Farming Connect Development and Technical Officers
  • Ensure that invitations are ready to be sent out on time and to the correct addresses
  • Produce relevant mailing lists for events
  • Monitor the printing process in order to ensure that the invitations are available on time
  • Ensure that all correspondence is correct and to a high standard
  • Cooperate with the marketing team to ensure that any relevant campaigns are given timely attention on invitations
  • Communicate with the relevant external agencies as required
  • Provide reliable and efficient office help and support

  • Ensure standards for quality, customer service, equality and diversity, health and safety and biosecurity are met
  • Accept other reasonable duties and responsibilities as required
  • Represent Menter a Busnes as required

 

Skills and Experience

Essential

  • Educated to NVQ level 3 or higher, and/or demonstrable experience in a relevant field
  • Excellent administrative skills and interpersonal skills
  • IT skills including Word, Excel, PowerPoint, Publisher, Databases, Email and the Web
  • Excellent co-ordinating skills
  • Excellent spoken and written bilingual communication skills
  • Able to input data correctly and keep data in compliance with relevant data protection laws
  • Co-ordinating and organising skills of a high standard
  • Accurate bilingual written skills
  • Good customer service skills
  • A good understanding or experience of agriculture / rural sector
  • Progressive and enthusiastic about the work of the Rural Department
  • Able to be proactive and to drive things forward efficiently
  • Able to carry on with own work as well as being a part of a team

 

Desirable

  • Knowledge of the Farming Connect programme
